Family reunion next month. Tips on what information to gather? Any templates (database, excel, etc.) for gathering information?

We are attending a family reunion next month. At the last family reunion, they gave out a Word document of a family tree. So we have a lot of past information.
But we would like to modernize the information. Obviously update it to get births since the last reunion (15 years ago, I believe).
But we not only want family tree information (date of births, marriages, children etc.), we also want contact information so that everyone attending the reunion will be able to contact each other.
Does anyone have any resources that we can use to gather and compile the information and also distribute it at the reunion? We have MS Office, so Access, Excel, or whichever format would be best for this. Or any Google Docs templates. Or any recommendation for other software that would be good for this type of information.

When I was in the same situation, someone here suggested designating a table for photos and asking people to bring old and new ones and set them up there. It was a great idea, and some unknown photos got identified by people who knew them.
